Standard invoice sections (what every invoice needs)

Payment terms that actually work
Net 15 is the freelance standard for most services. Client has 15 days from invoice date to pay. Faster than Net 30 (better cash flow), still reasonable for the client.
Net 30 is the corporate standard. Required by most large clients who have AP processes. Adjust when your client is a corporation with formal accounting.
Due on receipt for smaller amounts (under $500) or established client relationships. Fastest, but only appropriate for trusted repeat clients.
State the payment terms clearly on every invoice. Clients follow terms when they're visible; they follow their own convenience when terms are ambiguous.
The follow-up process
Even great invoices sometimes go unpaid. The follow-up sequence:
- Day of due date: Polite reminder email. "Just following up on invoice #123 due today — please let me know if there's anything you need from me."
- 7 days past due: Second reminder, slightly firmer. Attach past-due invoice template.
- 14 days past due: Third reminder. Mention late fees if in your contract.
- 30 days past due: Phone call. Written follow-up documenting the phone call.
- 60+ days past due: Collections process, small claims court for larger amounts.
